Home Wedding vendor comparison

Free wedding planning resource

Which wedding vendor quote is actually cheaper?

The lowest headline price is not always the lowest total. Compare the full offer, deposit, payment schedule, extras and cancellation terms before you choose.

Three decisions before you sign

1

Compare like for like

Write down what each vendor actually includes: hours, staff, delivery, equipment, revisions, setup, cleanup and taxes. Do not compare package names alone.

2

Calculate the full cost

Add mandatory extras and conditional charges. Keep the deposit, final balance and payment due dates visible separately from the total.

3

Check the trade-offs

Verify availability, cancellation/refund terms and the written scope. A slightly higher price may come with better inclusions or less upfront cash.

A cheaper quote can cost more

Two fictional photography quotes show why a headline price isn't enough. These numbers are examples, not real vendor offers.

Questions to ask every wedding vendor

  • What services and hours are included in this quote?
  • Are setup, delivery, gratuity, taxes or overtime extra?
  • Is my date reserved, and for how long?
  • What deposit is required, and when is the balance due?
  • What happens if either party cancels or needs to reschedule?
  • Is there a written list of what will be delivered and when?
  • Who will be my contact on the wedding day?

Keep every quote and clarification together so the final decision can be based on the same facts, not memory.

What to record in your comparison sheet

Vendor name · category · quote date · package inclusions · extras · availability · deposit · payment terms · strengths and limitations · shortlist decision.

You can do this on paper or in your own spreadsheet. A paid template is optional.

Frequently asked questions

Before you decide

Do I need to buy anything to use the comparison advice?

No. The method and checklist on this page are free. The editable workbook is an optional paid tool.

Does the workbook find or book vendors automatically?

No. You find vendors yourself, enter quotes manually and verify the details directly. It does not connect to vendor directories, make reservations or guarantee savings.

Does the cheapest quote always win?

No. Compare inclusions, unavoidable extras, service fit, deposits and contract terms before you make a final decision.
